Preparation for All Users
Non-Outlook Users
The following documentation has been developed and tested specifically for Outlook; however, this information is broadly applicable to all email applications.
Identify Your Connection Type
Determine whether your email application connects to the server using IMAP or POP. Knowing the type of connection is essential for identifying any additional steps you may need to take to complete your migration to Microsoft.
- Open Outlook and go to the File tab.
- Under the Account Information heading, click the Account Selector and locate your account from the dropdown. The configuration will be listed below the email address as either IMAP/SMTP or POP/SMTP.
Additionally,
- From the File tab, click Account Settings, then click Account Settings from the dropdown.
- In the Account Settings window, under the Email tab, locate your account. The configuration will be listed in the Type column as either IMAP/SMTP or POP/SMTP.
Export/Back Up Your Email
Exporting/backing up the data from your email application ensures there is no data loss during your migration to Microsoft.
For POP users, this backup also serves as the means to restore or manually migrate POP email to Microsoft.
- Open Outlook and go to the File tab.
- Click Open & Export, then click Import/Export.
- In the Import and Export Wizard window, select Export to a file and click Next.
- Select Outlook Data File (.pst) and click Next.
- Select your account (e.g. user@domain.tld) or the specific items you wish to export, and click Next.
- Select the export location and rename the file to match your account (e.g. user-domain-tld.pst). Click Finish.
- Using this naming convention is useful for support purposes, particularly for POP users manually migrating their email.
- You may be prompted to password-protect the exported file. If you choose to do this, enter a Password and click OK.
- If the password is lost or forgotten, the exported file will be unusable, potentially resulting in data loss.
- The password may need to be shared for support purposes, particularly for POP users manually migrating their email.
